Hi, I'm Matt Reid, founder of Precision Workflow Solutions.
After more than 25 years of working in, managing, and owning small businesses in Northern Virginia, I've seen firsthand how easily a hard-working operation can get buried in missed calls, scheduling headaches, and paperwork chaos.
I've lost customers, money, and sleep because the systems weren't there.
I wanted the freedom to spend a weekend away without worrying, or take a family trip without a dozen phone calls a day asking the same question that's been answered 5 times. I wanted to attend my kids's dance performances and violin recitals without having to be on my phone answering texts or emails.
That's exactly why I built this company — because I know that working harder isn't the answer. Working smarter, with the right strategies and systems in place, is.
For years, I thought the answer was just to work harder. Get in earlier, stay later, carry more in my head, personally make sure nothing fell through the cracks. And for a while, that worked — until the business got busy enough that one person couldn't hold it all together anymore.
At one point, I owned 3 different business locations. I thought that because they were close together (10-15 minutes apart), it would be easy for me to bounce from store to store as needed. One day, I lost out on a several-thousand-dollar job that an employee didn’t know how to quote and “wrote a note” for me. They remembered to give it to me a few days later. That day, I also got a formal complaint from a customer who had emailed, left two voicemails, and even came in, leaving a message with an associate when I was at another location. The email and voicemails were listened to by somebody and deleted. And had 3 different associates ask me how to properly process a payment for a house-account customer. Not to mention the thousand other tasks I needed to get done that nobody else could do.
That was a 14-hour day of putting out fire after fire, where I went to each of my 3 stores at least twice, lost a several-thousand-dollar job, lost a customer forever, had to deal with a completely legitimate formal complaint and had to reteach several employees, again, how to perform a simple task and a number of other things that only I could take care of.
That was the moment it clicked for me. The problem was never how hard or long I was working. The problem was that everything depended on me — my memory, my presence, my constant attention. There were no systems holding the business up. I was the system. And no person can be a system forever.
Once I started establishing real workflows — simple, clear, practical ones — everything changed. The business ran more smoothly. My team stopped needing me for every little thing. And for the first time in years, I could step back and breathe. I started Precision Workflow Solutions because I want to help other small business owners get to that same place, without the years of trial and error it took me.
